Who we are…

Based in the heart of vibrant Bristol, Proctor + Stevenson is a proudly independent, award-winning creative agency.

 

We offer the whole range of design and marketing services – from strategy, campaigns and lead generation, to brand-building, events, product communications and web builds.

 

Just a handful of the names we work with on a regular basis include Panasonic, Prysmian, Rathbones, Saudi Arabian Airlines, BMW/Mini Financial Services, Daikin, South West Water and Regus.

 

We’ve been in the business for nearly four decades and have an experienced and inspirational team of 70-plus professionals.

We’re a thriving, fast-growing company. So much so, in fact, that we outgrew our home and had to design and build a new one in leafy Easton – one of Bristol’s most creative quarters.

 

Our new space is truly a beautiful place to work, with exposed brickwork, plenty of light, a café and kitchen, parking spaces, a place for your bike, showers, solar panels, snugs and meeting rooms aplenty. What’s more, we’re a short walk from the artisan eateries of St Mark’s road, a short stroll from two train stations and a stone’s throw from plenty of bus stops.

 

What you’ll be doing…

This is a brand-new role for a brand-new office – and you’re running the show.

 

You’ll be the glue that holds the office together. You’ll be the first point of contact. You’ll deliver exceptional client services and run things like clockwork.

 

Reporting directly to the Financial Controller/Company Secretary, you will be part of the Proctor + Stevenson Hub (front of house, finance, HR and admin). You’ll also work alongside the wider Proctors team, developing relationships both internally and externally.

 

You’ll continually seek opportunities to make recommendations for improvements. This is an important position within the business, and with your experience and enthusiasm, we expect the role to develop over time.

 

Below are some of the tasks your typical day will be filled with:

  • Managing a busy switchboard, efficiently dealing with enquiries and passing on messages when required.
  • Giving clients, visitors and colleagues a warm welcome.
  • Planning internal and external catering and hospitality for meetings, corporate and social events and workshops, and acting as host when required.
  • Working with others in the Hub to organise and promote the

Proctor + Stevenson team social calendar, making suggestions and planning for key events throughout the year.

  • Keeping reception, meeting rooms and all shared facilities impeccable, and efficiently managing the booking systems.
  • Ordering taxis and couriers, and organising UK and international travel for colleagues.
  • Sorting and distributing incoming and outgoing post and deliveries.
  • Managing and ordering stock and office supplies. 
  • Health and safety.
  • Managing office facilities.
  • Working with our cleaning operatives to ensure the building is kept in tip top condition.
  • Managing office security and access.
  • Liaising with tenants and answering ad-hoc queries/requests regarding tenancy space.

 

What you’ll be needing

Must have

  • Previous reception experience, including managing a busy switchboard.
  • Previous hotel/hospitality experience, training and/or qualifications.
  • Excellent standard of written and spoken English.
  • Strong IT skills – Microsoft Outlook, Word, Excel.
  • First-class customer service skills gained from previous corporate front of house roles.

 

 

Must be

  • Independent, passionate, and able to take the initiative.
  • Well-presented, courteous and enthusiastic, with a natural flair for excellent customer service.
  • Organised, with strong administration skills and laser-sharp attention to detail.
  • Charismatic, and able to build rapport with colleagues, clients and guests alike.
  • Outgoing, and comfortable being the face and voice of our company.
  • Conscientious, and able to take responsibility for running front of house.
  • Flexible and able to cope with a changing and unpredictable workload.
  • Hardworking, with a willingness to work outside ‘normal’ hours when required. We have plans to host regular industry events in our gorgeous new offices, so you’ll enjoy organising these and seeing them come to fruition, which may be after hours or, on occasion, at weekends.

 

Bonus points for (but not a necessity)

  • Experience working with VOIP phone systems.
  • Experience working in an agency/creative environment.
  • Experience organising and/or hosting corporate/social events.
